A Guide To Planning Corporate Hospitality

By: Dominic Donaldson

You may find the task of running a corporate hospitality event stressful, when really with the right organisation and planning the whole experience really need not be traumatic. Here in this article we look at some small tips and hints that I have learnt throughout the years in the corporate hospitality industry.

Good corporate hospitality does not happen overnight, lots of planning and preparation needs to be done in order for the event to work. First of all you need to have clear in your mind what the purpose of your event is, is it a celebration? A conference? Or a product launch? Whatever it is you need to understand your budget and the message your company wants to get across. You also need to be aware of any restrictions that have been put upon you before you explore all possibilities.

Venues are important to establish, the location and choice of the venue can make or break a day. Obviously for some corporate hospitality events the venue will be included, such as a day out at Wimbledon tennis. But if you have the responsibility of finding a venue you need to bare in mind the amount of guests that you have and what other restrictions are on the building. These may be restrictions such as parking arrangements, alcohol licenses and accommodation facilities for business clients that are coming from out of town.

Food and drink is also an important part to corporate hospitality. Obviously pre brought packages such as days out at sporting events may well already include fine dining. But if you have not got that option and a meal is a part of your event, a reputable caterer needs to be contacted. Caterers can offer a range of different options for food from basic party food to silver service. Of course this will rely heavily on your budget and what theme the day is.

Meal times and drink receptions at corporate hospitality days can sometimes become quite empty as the clients probably do not know one another. Obviously a corporate hospitality package at a sports event solves this problem with the sporting entertainment. But other events may need to be slightly creative to get the guests talking to one another. A comedian, after dinner speaker, toastmaster, illusionist and magician are all good options to keep the conversation flowing. Alternatively a magician can tailor his performance to your company's product or service to remind the guests what you offer.
